Die Zeit der großen KI-Ankündigungen geht vorbei. Die Technik wandert in den Hintergrund und wird gerade dadurch wichtiger. Google zeigt KI-Antworten direkt über den Suchergebnissen, Microsoft baut Copilot in Word, Excel und Outlook ein. Wer diese Werkzeuge nutzt, nutzt KI, oft ohne es zu merken.

Für dich als Mittelständler ist das eine gute Nachricht. Du musst nicht mehr die eine Wundersoftware finden. Du musst entscheiden, wo in deinem Betrieb KI jeden Tag Arbeit abnimmt.

Vom Staunen zur Umsetzung

Viele Unternehmen testen seit zwei Jahren. Ein paar Prompts im Chatfenster, ein Workshop, ein Pilotprojekt. Danach bleibt es oft beim Einzelnen, der die Werkzeuge für sich nutzt. Produktiv wird KI erst, wenn sie in einen Ablauf eingebaut ist, den mehrere Menschen gemeinsam nutzen und der ein messbares Ergebnis hat.

Vier Schritte zur produktiven Routine

  1. Einen wiederkehrenden Ablauf wählen. Angebote vorbereiten, Anfragen sortieren, Protokolle schreiben, Rechnungen prüfen. Je häufiger er vorkommt, desto schneller zeigt sich der Nutzen.
  2. Den Ablauf vorher sichtbar machen. Wer nicht weiß, wie der Prozess heute läuft, automatisiert die Umwege gleich mit. Wie das geht, steht im Beitrag Prozesse sichtbar machen.
  3. Einen Messwert festlegen. Minuten je Vorgang, Durchlaufzeit, Fehlerquote. Ohne Messwert bleibt KI ein Gefühl.
  4. Eine Person verantwortlich machen. Jemand pflegt Vorlagen, sammelt Rückmeldungen und entscheidet, wann der nächste Ablauf dran ist.

Besitz statt Abhängigkeit

Ich arbeite werkzeugoffen: Claude, ChatGPT oder lokale Modelle, je nach Aufgabe und Datenlage. Entscheidend ist, dass du die Ergebnisse besitzt. Vorlagen, Anleitungen und, wo Code entsteht, der Code selbst gehören dir, dokumentiert und ohne Bindung an einen einzelnen Anbieter. So kannst du wechseln, wenn sich der Markt bewegt, und er bewegt sich schnell.

Einordnung in core+

From amazement to implementation

Many companies have been experimenting for two years. A few prompts in a chat window, a workshop, a pilot project. After that it often stays with individuals who use the tools for themselves. AI only becomes productive when it is built into a process that several people share and that has a measurable result.

Four steps to a productive routine

  1. Pick a recurring process. Preparing quotes, sorting enquiries, writing minutes, checking invoices. The more often it happens, the faster the benefit shows.
  2. Make the process visible first. If you don't know how the process runs today, you automate the detours too. The article making processes visible shows how.
  3. Set one metric. Minutes per case, lead time, error rate. Without a metric, AI remains a feeling.
  4. Make one person responsible. Someone maintains templates, collects feedback and decides when the next process is due.

Ownership instead of dependency

I work tool-agnostic: Claude, ChatGPT or local models, depending on the task and the data. What matters is that you own the results. Templates, guides and, where code is written, the code itself belong to you, documented and not tied to a single vendor. That way you can switch when the market moves, and it moves fast.
